Bringing a lender’s clients, loans, collections and staff records into one system

The challenge

TTMK manages loans from application to final repayment. Client details, loan files, disbursements and repayments were tracked across spreadsheets, making it hard to see what was owed, what had been collected and where a loan stood at any moment. Debit-order collections arrived as separate files that had to be matched to loans by hand.

What we did

We built a central platform around the loan file. Client records, documents and communication history sit alongside each loan. Loans move through approval, disbursement and collection, and statements are produced from the same data. Debit-order collection files are imported directly and reconciled against the loans they belong to. Staff attendance and leave were brought into the same system, so the back office runs from one place.

The result

Loan status, repayments and collections are now visible from one system rather than reconstructed from spreadsheets. Collection files are reconciled in software instead of by hand, and management works from current figures. The platform continues to be refined with TTMK’s team based on how they use it day to day.

System overview: who uses the platform, what it does, and what it produces.

Accuracy is the product

For a lender, the system is the record of who owes what. We built the platform around the loan file, so every disbursement, repayment and document is tied to the loan it belongs to and the history can’t drift between spreadsheets.

Reconciliation in software

Debit-order collections arrive as files from the collection provider. The platform imports them and matches each line to its loan. Manual reconciliation, a common source of errors and delays, becomes a reviewable step in the system.

Shaped by the people using it

Back-office software only works when it fits the team’s rhythm. We keep refining the platform with TTMK’s staff: how they capture transactions, how loan terms are recorded, and what management needs to see on the dashboard.
